To update district profiles, send the following to the STaR Chart Helpdesk.

  • 6 digit district number
  • District STaR Chart main contact person information including:

Campus Profiles

To update Campus STaR Chart accounts, send the following to the STaR Chart Helpdesk.

  • 9 digit campus number
  • Principal last name
  • Principal first name
  • Principal email address

To activate the profile of a new campus, log on to Texas STaR Chart with the nine digit campus number and no password (leave the password field blank). After logging on, input the principal's first and last name along with his/her email address. As the instructional leader on the campus, principals are responsible for submission the Campus STaR Chart.
If the principal opts to add additional contact persons to assist with managing Teacher STaR Chart profiles, that is permissible by updating the campus profile after logging on the the Campus STaR Chart system. However, the principal should remain the main contact person for each campus.

Teacher Profiles

Teacher users are added to STaR Chart in two ways. A single teacher can be added by logging on to the Campus STaR Chart from the Teacher List page. Or, all teachers can be added via mass update by campus or district. Teacher profiles begin with the following:

  • 9 digit campus number
  • Teacher first name
  • Teacher last name

When added to the campus list, STaR Chart creates a Teacher STaR Chart username dynamically. Typical Teacher STaR Chart usernames are firstname.lastname with the possibility of a number after the teacher last name. Example, john.doe or jane.doe12.
Teachers who are new to a campus or have never had their STaR Chart profile activated for a particular campus, will have no email address next to their username on the Teacher List when logged in at the campus level. These teachers are referred to as "new teachers" for STaR Chart purposes. Campus administrators should provide STaR Chart usernames to these new teachers with instructions to login at with the STaR Chart username and the generic password "password".

After logging on to STaR Chart this first time, teachers will create their profile. Teachers input their correct email address, password, subject area and grade level and hit "submit". When a teacher profile is submitted, teachers receive a verification email which includes a link that must be clicked to activate the teacher's STaR Chart profile. Clicking the link will take teachers to the STaR Chart login page. Teachers now login with their STaR Chart username and the new password just indicated.

Updating the Teacher List

Updating teacher lists can be done in two ways.

  • Add single teachers one at a time.
  • Mass upload of teachers by district or campus.

Add teachers - one at a time

  1. Log on to Campus STaR Chart.
  2. Click on the Teacher List link.
  3. Under "Add a teacher to my list," each teacher name should be added by adding the teacher first name and last name.
  4. Click the button, "Add Teacher".
  5. Continue for each teacher not currently on the Teacher List for this campus.

Add teachers - mass upload

The STaR Chart Helpdesk will be glad to upload the teacher list for a campus or district. To do so, the STaR Chart administrator at the district or campus should ask the PEIMS coordinator to extract a tab delimited text file in the following format

When teacher lists are uploaded

  • Teacher names will be inactivated if the teacher name does not appear on the uploaded list.
  • Teacher names on the uploaded list which were not on the Teacher List prior to the upload, will be added for this campus.
  • Any teacher currently on the Campus STaR Chart teacher list wil remain as long as the teacher name is spelled the same way.

It is permissible to send a tab delimited file for the entire district or individual campus.

Teacher Email Addresses
Principals should double check teacher email addresses and correct any that are incorrect by choosing "Edit" next to the teacher name. When teachers request their password through the automated system, passwords will be sent to the email address on file. Incomplete or incorrect email addresses will cause passwords to be undeliverable. If an email address is incorrect, click "Edit" next to that teacher information and correct the email address.

Updating Teacher List
If the list of teachers for a particular campus is incomplete there are two options to update that list.

  1. Principals may login to STaR Chart and select “Teacher List” at the top to view teachers on a campus.
    1. Manually add any new teachers that do not appear on the list. Add these names as they appear in PEIMS. Input only first and last name. Hyphenated names are acceptable. Please do not enter two first or two last names for a teacher as the STaR Chart will add a space between those names. (Nicknames or inaccurate names will result in problems later.)
  2. If there are numerous new teachers on a campus, a mass update may be completed using the following process:
    1. Ask your PEIMS coordinator to create a tab-delimited TEXT file (.txt) with one teacher per line with the format:

9 digit campus ID <tab> teacher first name <tab> teacher last name.  


Ask that no blank rows be included in the list. This list should include all teachers on a particular campus (even those currently in STaR Chart). This file should be sent via email to starchart@esc12.net.

Example:
999999001   Susan        Adams
999999041   Cathy         Moore
999999101   Jose          Hernandez
999999101   Fernando     Martinez

  • After adding additional teachers, revisit the list and obtain teacher usernames. These are typically in firstname.lastname format. In some situations a number will appear at the end of the username. This number is essential for the teacher on this campus, since it distinguishes that teacher from another in the state with the same name.
  • A list of teacher usernames can be printed by choosing the Printer Friendly option.
  • Each teacher will need their unique username and password in order to login as a returning teacher in STaR Chart.
  • Teachers with no email address must first create their profile before submitting the STaR Chart assessment.

I only need to add a few teachers.  Do I need to send a file for uploading?

If you only need to add a few teachers, you might choose to add them manually. To do so, log on as the Campus User. On the menu bar at the top, choose Teacher List. On this page, teachers can be added manually.  The STaR Chart system will assign a username for teachers added. The principal will then provide the STaR Chart username to these teachers to begin the process. These new teachers will login to STaR Chart with their STaR Chart username and the generic password "password" before creating their profile.

It might be necessary to view the Archived Teacher list as well if a teacher was assigned to a particular campus in the past. If a teacher name is found in the archived list, you may select Reactivate to avoid reading the teacher to the system

District Email

District STaR Chart administrators are considered the Primary contact for STaR Chart. Up to three additional contacts may be added of the District STaR Chart administrator opts to list optional assistants. To update the email address of the primary contact, log on to STaR Chart and update the district profile.

Campus Email

Principal email addresses can be changed in two ways.

  1. Once the principal logs on to STaR Chart by choosing Update Campus Profile.
  2. District contact can send a tab delimited text file with a list of all new principals to the STaR Chart Helpdesk for upload. That list should be sent in the following format.

9 digit campus number <tab> Principal Last Name <tab> Principal First Name <tab> Principal Email Address

Districts can extract this list from the district STaR Chart login under "Principal List". Copy that list into Excel, make corrections, save as a tab delimited .txt file and email to the STaR Chart Helpdesk

Teacher Email

Incorrect teacher email addresses in STaR Chart are the number one reason for STaR Chart Helpdesk inquiries. If teacher email addresses are correct, teachers can retrieve their password via the automated system on the Login page at “Forgot Password?” If teachers input the correct email address when creating their profile, verification email addresses will be returned to them within one minute.  It is important that new Star Chart profiles are created with a valid, complete email address for each teacher.

There are two methods for updating email addresses for teachers who are currently in the STaR Chart system.

  1. Manual email address update
    1. Sign on to STaR Chart as the campus or district user and go Teacher List. At this page can be found a list of all teachers for a particular campus or district. If teachers have an email address next to their name, their profile has already been created. If teacher email address is incorrect, choose the Edit option and correct the email address.
  2. Automatic email address update
    1. The STaR Chart Helpdesk can automatically update teacher email addresses. For this to happen, send a text file in the following format to starchart@esc12.net . The uploaded file will update email addresses for each teacher who currently has a star chart profile.

Nine digit Campus Number <tab> Teacher STaR Chart Username <tab> Teacher Correct Email Address

  1. No email address listed for some teachers?
    1. When no email address is listed for some teachers, these teachers have recently been added to STaR Chart for this campus. These teachers will have to follow the instructions for New Teacher Role before their email address will be listed on the Campus STaR Chart site.

Format of Email File for Updating:

  1. Create an Excel file with three columns
  2. First column – campus numbers
  3. Second column – Teacher STaR Chart usernames
  4. Third column – teacher new email address
  5. No extra rows, no titles on the first row
  6. Save the file. You can either send the Excel file or you can save as (change the file type) to .txt file. One of the options should be provided as tab delimited. Select this option and save the file..
  7. Email to starchart@esc12.net

District Password

Districts log on to STaR Chart with their six digit county district number and e-Plan password. If that password is not known, contact the STaR Chart Helpdesk for assistance. Include the name of the district and district county district number and your title within the district.

Campus Password

Principals login as the campus user with the nine digit county district campus number and campus password previously established. If the campus password is not known, enter the nine digit campus number and the password will be sent via email to the email address of the principal listed for that campus. If for any reason the principal does not receive the password, inquire with the district contact as to whether the principal contact information (including email address) for your campus has been updated. Once principals are updated, if principals are still having difficulty receiving passwords, request assistance with the STaR Chart Helpdesk.

Teacher Password

Obtaining Teacher Passwords

Teachers request STaR Chart passwords by going to www.tea.state.tx.us/starchart. Click on Login and enter Teacher STaR Chart username in the box under "Forgot your Password?". If the Teacher STaR Chart username is not known, contact the principal or Campus STaR Chart contact. Campus STaR Chart administrator can provide the Teacher STaR Chart username.

Not Receiving Email for Password or Verification Email

Teachers who have an active STaR Chart profile are able to obtain their password via the "Forgot a Password?" option on the STaR Chart login page. If for any reason you are unable to obtain your password instantaneously, the teacher email address may be incorrect in the STaR Chart system. Teachers should ask their Campus STaR Chart administrator to double check the teacher email address and correct it if necessary. Campus administrators can edit teacher emails in one of the methods below.

Teachers creating new STaR Chart profiles must enter their profile information including email address, password, grade level and subject area. If for any reason, the verification email is not returned to the teacher immediately upon hitting 'submit', teachers should consider whether the email address entered was actually correct. Email addresses should be in the following format: username@domainame.domain. Example:

jane.doe@rightwayisd.net
jdoe@rightwayisd.org
jane.doe@risd.k12.tx.us

If unsure of the exact teacher email address, teachers should inquire with their campus administration.

A Teacher with No Email Address in STaR Chart - How to Retrieve Passwords

Teachers with no email address in STaR Chart do not have a STaR Chart profile. After creating the teacher profile, the teacher email address will appear on campus and district STaR Chart lists.

  1. Go to www.tea.state.tx.us/starchart
  2. Log in to STaR Chart using the STaR Chart username provided by the principal and the generic password "password".
  3. After doing so, teachers will create their STaR Chart profile by entering their correct email address, a password that can easily be remembered from year to year, grade level and subject area. Then hit the submit button.
  4. Teachers will immediately receive an email verification that includes a link to the STaR Chart site. This link must be clicked in order to validate the Teacher STaR Chart account. By doing this we assure teachers have entered the correct email in their profile. If teachers are unable to click the link for any reason, it may be necessary to copy and paste the entire URL (link) in your browser address bar, then hit GO.
  5. Teachers will be taken to the login page and will be able to login with their STaR Chart username and the password indicated by the teacher to complete the STaR Chart assessment.
Teachers are asked to please retain a copy of your STaR Chart username, password, and email address in a file for use next year.
